Start with YouTube's own captions

Before uploading anything, open the video and click the three dots under the player, then Show transcript. If the video has manual captions, or auto-captions in a language you can read, that transcript is already written, free, and instant.

Auto-captions exist on the large majority of English videos and are usually good enough to read, search, and repurpose. They are not good enough to publish as a transcript without a pass — auto-captions routinely drop punctuation, mis-name speakers in fast conversation, and collapse pauses into run-on sentences.

So the honest framing is: YouTube's transcript gets you 80% of the way for free. A transcription tool is for the last 20%, and for the cases where captions were never generated at all.

When you actually need a transcription tool

Four situations justify leaving YouTube:

  • No captions exist. Long-tail and niche videos frequently have captions disabled, and YouTube generates them only for supported languages.
  • You need clean punctuation and paragraphs. Auto-captions arrive as a wall of text with no paragraph breaks.
  • Speaker labels. YouTube identifies nobody. Diarization gives you Speaker 1, Speaker 2, which matters for interviews, calls, and panels.
  • Word-level timestamps. Needed to build subtitles, which requires knowing when each word is spoken.

If none of those apply, use YouTube's captions and skip the upload.

Getting a transcript out of YouTube

Manual or auto captions present: open the video, show the transcript panel, and copy it. Check the language selector first — a video with ten auto-translated tracks will not show the track you want by default.

No captions: upload the file to a transcription service and export to TXT, SRT, or VTT.

A whole channel, not one video: pull the transcript one video at a time and expect to do it in batches. There is no bulk path through YouTube's own UI, and scraping the panel does not survive a platform redesign, so a real export path is worth the setup on a large backlog.

Turning a transcript into subtitles

For SRT or VTT output you need timing, which is why word-level timestamps matter. Export, then check the first and last cue against the video — auto-generated timings often drift by a second or two at the end of long files.

Fix drift by nudging cue boundaries rather than regenerating. A transcript that is 95% accurate and correctly timed is far more usable than a perfect transcript with timings that drift.
